3. Information about other patients

Our service may allow a customer to provide information relating to another person, for example their child or partner.

If you provide another person's information to us, you should ensure that you are authorised to do so and that they are appropriately informed about how their information will be used.

Where the information relates to a child, the person placing the order should have appropriate parental responsibility or other authority to provide the information and request the service on the child's behalf.

4. How we use personal information

We may use personal information to:

We will not use personal information for purposes that are incompatible with the purposes for which it was collected unless permitted or required by law.

5. Our lawful bases

Under UK data protection law, we must have a lawful basis for using personal information.

Depending on the particular processing activity, our lawful bases may include:

Contract – where processing is necessary to provide a service you have purchased or to take steps at your request before entering into a contract.

Legitimate interests – where processing is reasonably necessary for our legitimate business interests or those of another person and those interests are not overridden by your rights and interests.

Legal obligation – where we need to process information in order to comply with the law.

Consent – where we have asked you to consent to a particular use of your information. Where we rely on consent, you may withdraw that consent subject to applicable law.

6. Health and other sensitive information

Some information provided in connection with finding or contacting a dental practice could constitute information concerning a person's health and therefore receive additional protection under data protection law.

Where we process special category personal data, we will only do so where an appropriate condition under data protection law applies.

Where we rely on explicit consent to process such information, we will obtain that explicit consent before carrying out the relevant processing.

We aim not to request or collect medical or health information that is unnecessary for providing the Dental Queue service.

7. Sharing information with dental practices

A central part of the Dental Queue service involves contacting dental practices on behalf of patients.

We may therefore disclose relevant personal information to dental practices where reasonably necessary to:

  • identify the patient;

  • enquire about NHS availability;

  • enquire about or request placement on a waiting list;

  • provide information requested by the practice for that purpose; or

  • otherwise carry out the service requested by the customer.

Once information has been provided to an independent dental practice, that practice may process the information for its own purposes and under its own data protection responsibilities.

8. Other organisations we may share information with

We may also use third-party organisations to help operate our business, such as:

  • website hosting and website service providers;

  • payment processors;

  • email and communications providers;

  • IT, cloud storage and software providers;

  • professional advisers where necessary; and

  • government bodies, regulators, courts or law enforcement where disclosure is legally required.

We only disclose information where reasonably necessary for the relevant purpose and seek to use appropriate safeguards where required.

We do not sell your personal information.

9. International transfers

Some of the service providers we use may process personal information outside the United Kingdom.

Where personal information is transferred internationally, we will take steps required by applicable data protection law to ensure that appropriate protections are in place.

10. How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including providing our services, dealing with queries or disputes, maintaining appropriate business and financial records, and complying with legal obligations.

Different categories of information may therefore be retained for different periods.

We periodically review the information we retain and delete or anonymise information when it is no longer reasonably required.

11. How we protect information

We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

However, no internet-based service or method of electronic storage can be guaranteed to be completely secure.

12. Cookies and website information

Our website may use cookies and similar technologies to operate the website, understand how it is used and, where applicable, provide analytics or other functionality.

Where required by law, we will ask for your consent before placing non-essential cookies on your device.
